Working With a Management Company: Do Homeowners Know Which
Calls Should--and Shouldn't--Be Directed to Your Manager?

If your homeowner association employs an outside manager--or is
considering contracting with a management company--one way to
lay the foundation for a successful relationship is to spell
out when homeowners should contact the manager and when they
should contact the board.

Really this is a two step process.

First you should work with your management company to decide
where the line should be drawn. Some aspects of this will follow
general principles, and some will vary depending on the exact
level of service you're contracting to recieve from the manager.

As an example, it may be fine for residents to contact the
management company about improperly parked vehicles. However,
it's inappropriate for residents to call the management company
to discuss budget issues or complain about contractors or
maintenance workers. Those calls should be fielded by the board
and, if necessary, later addressed by the board with the
property management company.

Once you have a clear understanding of where you will draw the
line, your HOA board--and the manager--all need to communicate
that information clearly and consistently to the homeowners in
your community.
