How Not to Run Into Tech Malfunctions When You Live Stream Your HOA Meeting

Last month, we mulled the pros and cons of live streaming your HOA meetings. This month, we offer tech tips for those of you ready to take the plunge. Here are two suggestions to get you started:

1. Know your audience. You have a number of platforms you can use for live streaming. The question is: What will be easiest for your members?

“It’s really about what your ‘client’ is tailored to,” says Felipe Calderon III, a multi media specialist who creates videos for clients and his firm, BoardroomPR in Ft. Lauderdale, Fla. “YouTube Live is mainly for bloggers,” he says. “Snapchat has the ability to go live right now, too, and you can use Twitch.”

But if you have a Facebook page for your HOA where your owners can easily show up, says Calderon, that’s probably the best platform for live streaming your board meeting.

2. There’s probably no need to buy fancy equipment. “To live stream an event like a board meeting, you have to make sure your phone, camera, or other recording equipment has WiFi capabilities for immediate streaming,” says Calderon. “In this age, everyone has a smart phone. You can buy professional-grade equipment like live-streaming camcorders. But if you have a newer phone or camera, you’re OK.”

3. Be sure your internet connection is stable. “Making sure you’re on a stable internet connection can make or break your live streaming endeavors,” says Calderon. “The stronger your WiFi is, meaning the less crowded your network is, the better. For instance, if you have 30 people in a room all using one signal, that’s going to clog a network.”

Should you ask your attendees to turn off their phone or put it on airplane mode to clear the network? “It wouldn’t be the first time someone’s asked members of the audience to turn off their phone or put it on airplane mode,” says Calderon. “But if nobody listens, you can still stream. The connection can change throughout the whole live stream. Maybe the first minute might seem blurry to viewers, but by minute two or three, it’ll probably start to clear up. It’ll adjust as it goes.”

Will the connection change if you, the camera-holder, are moving around? No. Calderon says that might be an issue if you’re walking from room to room, and there are concrete walls. But it shouldn’t be a problem if you’re just moving around one room.
